Getting Started

Articles to get you up and running, quick and easy.

  1. Navigate to https://myflfunds.com/.
  2. Click Sign Up.
  3. Complete the required user fields.
  4. Review the usage policies, then
    select the I accept the usage policies of this service box.
  5. Click Sign Up.
  6. Check your email to confirm your account.
  7. Once your email is confirmed,
    enter your login details, then
    click Sign In.
  8. If you did not receive a confirmation email, complete the following steps.

  9. Select Click Here to Resend.
  10. Enter your email address, then
    click Resend.
  11. Once your email is confirmed,
    enter your login details, then
    click Sign In.

  1. Click Subscription in the navigation menu.
  2. Choose whether you prefer yearly or monthly billing.
  3. Click Add This Subscription.
  4. Select your preferred billing option.
  5. (You can also select a different billing option from within pop-up.)

  6. Click next.
  7. Enter your billing information, then
    click Subscribe.
  8. Click Access Your Subscription to begin using your new MyFLFunds subscription.

    Method 1

  1. Click Subscription in the navigation menu.
  2. Under Your Current Subscriptions,
    click Access Your Subscription.

    Method 2

  1. Click Profile in the navigation menu.
  2. Click Access Your Subscription.

    Required Fields

  • Name
    Enter the student’s display name (max 20 characters).
  • Accent Color
    Select a dedicated accent color for the student, which is used throughout the site when the student is referenced.
  • Actions

  • Add Student
    Saves the new student and makes them immediately available for use.
  • Cancel
    Returns you to the dashboard.
  • Existing Students (right panel)

    Use the search box or A–Z filter to locate a student you’ve already added. Click a name to open Manage Students for edits.

    Required Fields

  • Name
    Enter the provider’s display name (max 20 characters).
  • Actions

  • Add Provider
    Saves the new provider and makes it immediately available for use.
  • Cancel
    Returns you to the dashboard.
  • Existing Providers (right panel)

    Use the search box or A–Z filter to locate a provider you’ve already added. Click a name to open Manage Providers for edits.

    Reimbursement Projects save automatically every five minutes. Upon the first save (whether automatically or manually), you will be redirected to the Edit Reimbursement Project page.

    Project Details

    At the top, you’ll see fields for the Project Name and Project Descriptor. These are for your own reference but are required. Each is limited to 30 characters.

    Data Entry Rows

    Rows represent individual funding or expenses. Fill in the required fields, which are variable based on if the row is for a future purchase, a pre-authorization, part of a two-year cycle, and the like. Additional fields align with other reimbursement fields as well as for your own tracking purposes.

    Real-Time Alerts and Validation

    The system will flag issues as you type. For example, you’ll get alerts if you enter a future date, a forgotten Category/Type/Description dropdown menu, or leave a required field blank.

    Row Management

    Use the plus (+) icon (or Tab) to add a row, the minus (−) icon to remove a row, and the copy icon to duplicate a row.

    Use the checkboxes to select and delete multiple rows at once.

    Rows can be reordered using the up/down arrows on the right or sorted using the controls at the top.

    Saving Changes

    Use the Save button at either the top or bottom of the page. If you try to navigate away without saving, you’ll be prompted to confirm.

    The system also auto-saves every five minutes.

    Running Reports

    Once data entry is complete, go to the Reports section in the navigation menu to generate your reports.

    Adding Funding or Interest

    Open a reimbursement project and add a new row for the student.

  • Under Category, select either Funding or Interest. These are the first two categories listed.
  • Enter the applicable date and amount.
  • For a single deposit, enter 1 as the quantity and enter the full amount under Cost per Item / Service.
  • Selecting a Provider

    You may create a provider specifically for these entries, such as PEP Funding or PEP Interest, and reuse it for future entries.

    Saving the Entry

    Click Save after completing the row. The amount will now appear for use in the reports.

    Selecting a Student

    Use the Viewing Report For dropdown menu at the top of the page to select the student whose information you want to review.

    The report displays information for one student at a time. Selecting a different student automatically loads that student’s report.

    Selecting a Date Range

    By default, the report displays All Dates. After selecting a student, you may use the Date Range field to limit which entries appear on the report.

  • Select All Dates to review all qualifying entries for the student.
  • Select School Year to review entries from July 1 through June 30 of the current school year.
  • Select a custom beginning and ending date to review a specific period.
  • Click Apply after changing the date range. You must select both a beginning and ending date when using a custom date range.

    Funding and Interest

    The Funding and Interest section displays the funding and interest amounts recorded for the selected student, grouped by category.

  • Category – The Step Up funding or interest category assigned to the entry.
  • Funded – The total amount recorded within that category and date range.
  • The total shown at the bottom of the table represents the student’s combined funding and interest for the selected date range.

    Expenses

    The Expenses section groups the student’s expenses by Step Up category and separates the amounts according to their current status.

  • Category – The Step Up expense category assigned to the item.
    (For your convenience, the rows only show categories actually used in your reimbursements.)
  • Pending Pre-Authorization – Submitted pre-authorization requests that have not yet been approved or denied.
  • Pending Standard – Submitted standard expenses that have not yet been approved or denied.
  • Approved – Expenses recorded as approved.
  • Denied – Expenses recorded as denied and not approved.
  • Future Purchases – Planned standard purchases with a future purchase date that have not yet been submitted.
  • Totals for each status appear at the bottom of the table. A separate total beneath the first two columns shows the combined amount of all pending pre-authorizations and pending standard expenses.

    Summary Totals

    The Summary Totals section uses the report’s funding and expense totals to provide two additional balances.

    Remaining Standard Funds

    This amount is calculated as:

  • Funded minus Pending Standard and Approved expenses.
  • This amount should generally match the student’s Current Funds Available balance shown by Step Up.

    Safe to Spend Now

    This amount estimates how much remains available after accounting for expenses and purchases that may reduce the student’s balance.

  • The calculation subtracts pending pre-authorizations, pending standard expenses, approved expenses, and future purchases from the student’s funded amount.
  • Use this amount as a planning tool when considering additional purchases. It depends on the completeness and accuracy of the information entered in MyFLFunds.

    What Is Included in the Report

    An item must belong to the selected student, fall within the selected date range, and meet the applicable requirements below.

    Standard Expenses
  • The item must have a Purchase Date.
  • The item must be submitted, approved, denied, or recorded as a planned future purchase.
  • The item is included in the date range according to its Purchase Date.
  • Pre-Authorizations
  • The item must be tagged as a Pre-Authorization.
  • The item must have a Submitted Date.
  • The item is included in the date range according to its Submitted Date.
  • Items that do not contain the required dates or statuses will not appear on the report.
