Reports
Create audit-ready, downloadable reports with in-line fee explanations.
- Description – The description of the planned item or service. If no description is available, the item type or Step Up category may be displayed instead.
- Provider/Vendor – The provider or vendor associated with the planned purchase.
- Expected Date – The future purchase date entered for the planned expenditure.
- Planned Amount – The total anticipated amount, including the item quantity, cost per item or service, and any recorded tax, shipping, or other additional charges.
- Actions – Provides an Open Project button that takes you directly to the project containing the planned purchase.
- The item must have a Purchase Date after today.
- The item must not be tagged as a Pre-Authorization.
- The item must not be recorded as Denied.
Selecting a Student
Use the Viewing Report For dropdown menu at the top of the page to select the student whose information you want to review.
The report displays information for one student at a time. Selecting a different student automatically loads that student’s report.
Report Columns
The report lists each qualifying planned future expenditure for the selected student.
The total shown at the bottom of the Planned Amount column represents the combined value of all planned future expenditures appearing on the report.
Reviewing Planned Purchases
Planned purchases are arranged by expected date, with the nearest upcoming purchase appearing first.
Use the report to anticipate upcoming expenses, compare planned spending against available funds, and avoid committing the same funds to multiple purchases.
Click Open Project beside an item to review or update the related project. Changes to the purchase date, amount, pre-authorization setting, or denial status will be reflected when the report is reloaded.
What Is Included in the Report
An item must belong to the selected student and meet the following requirements.
Future Expenditures
When the expected purchase date arrives, the item will no longer appear on the Budget Forecasting Tracker.
- Select All Dates to review all qualifying entries for the student.
- Select School Year to review entries from July 1 through June 30 of the current school year.
- Select a custom beginning and ending date to review a specific period.
- Category – The Step Up funding or interest category assigned to the entry.
- Funded – The total amount recorded within that category and date range.

(For your convenience, the rows only show categories actually used in your reimbursements.) - Pending Pre-Authorization – Submitted pre-authorization requests that have not yet been approved or denied.
- Pending Standard – Submitted standard expenses that have not yet been approved or denied.
- Approved – Expenses recorded as approved.
- Denied – Expenses recorded as denied and not approved.
- Future Purchases – Planned standard purchases with a future purchase date that have not yet been submitted.
- Funded minus Pending Standard and Approved expenses.
- The calculation subtracts pending pre-authorizations, pending standard expenses, approved expenses, and future purchases from the student’s funded amount.
- The item must have a Purchase Date.
- The item must be submitted, approved, denied, or recorded as a planned future purchase.
- The item is included in the date range according to its Purchase Date.
- The item must be tagged as a Pre-Authorization.
- The item must have a Submitted Date.
- The item is included in the date range according to its Submitted Date.

Funding and Interest
The Funding and Interest section displays the funding and interest amounts recorded for the selected student, grouped by category.
The total shown at the bottom of the table represents the student’s combined funding and interest for the selected date range.
Expenses
The Expenses section groups the student’s expenses by Step Up category and separates the amounts according to their current status.
Totals for each status appear at the bottom of the table. A separate total beneath the first two columns shows the combined amount of all pending pre-authorizations and pending standard expenses.
Summary Totals
The Summary Totals section uses the report’s funding and expense totals to provide two additional balances.
Remaining Standard Funds
This amount is calculated as:
This amount should generally match the student’s Current Funds Available balance shown by Step Up.
Safe to Spend Now
This amount estimates how much remains available after accounting for expenses and purchases that may reduce the student’s balance.
Use this amount as a planning tool when considering additional purchases. It depends on the completeness and accuracy of the information entered in MyFLFunds.

- Actions – Provides an Open Project button that takes you directly to the project containing the denied item.
- The item must have a Submitted Date.
- The item must be recorded as Denied.
- The item must have a Purchase Date.
- The item is included in the date range according to its Purchase Date.
- The item must be tagged as a Pre-Authorization.
- The item is included in the date range according to its Submitted Date.

- The item must be assigned to the Direct Pay category.
- The item must have a Purchase Date.
- The item is included in the date range according to its Purchase Date.

Reviewing Direct-Pay Transactions
Use the report to review purchases that were paid directly to providers or vendors rather than reimbursed to you.
Click Open Project beside a transaction to review or update the related project. After changes are saved, return to the Direct Pay Report to review the updated information.
What Is Included in the Report
An item must belong to the selected student, fall within the selected date range, and meet the following requirements.
Direct-Pay Items
Items that are not categorized as Direct Pay or do not contain a Purchase Date will not appear on the report.
- Select All Dates to review all qualifying entries for the student.
- Select School Year to review entries from July 1 through June 30 of the current school year.
- Select a custom beginning and ending date to review a specific period.
- Description – The description of the submitted item or service. If no description is available, the item type or Step Up category may be displayed instead.
- Provider/Vendor – The provider or vendor associated with the submitted item.
- Submitted Date – The date the item was submitted for review.
- Days Since Submitted – The number of calendar days that have passed since the submitted date.
- Amount – The total submitted amount, including the item quantity, cost per item or service, and any recorded tax, shipping, or other additional charges.
- Actions – Provides an Open Project button that takes you directly to the project containing the submitted item.
- The item must have a Submitted Date.
- The item must have a Purchase Date that is today or earlier.
- The item must not be tagged as a Pre-Authorization.
- The item must not be recorded as Approved.
- The item must not be recorded as Denied.
- The item is included in the date range according to its Submitted Date.

Reviewing Pending Items
Items with the greatest number of days since submission appear first, making it easier to identify reimbursements that have been awaiting review the longest.
Click Open Project beside an item to review or update the related project. After an item is marked as approved or denied, it will no longer appear on the Pending Review Report.

Use the report to compare how much has been submitted, approved, denied, or planned with each provider or vendor.
The provider-level breakdown can also help you identify outstanding requests, review spending patterns, and account for planned purchases before committing additional funds.

- Reimbursement ID – The reimbursement identification number recorded for the item. If no number has been entered, the report displays None Entered.
- Purchase Date – The recorded date the item was purchased.
- Eligible Replacement Date – The date two years after the recorded purchase date.
- Days Remaining – The number of calendar days remaining before the item reaches its eligible replacement date. Items that have completed the two-year period are marked Eligible Now.
- Actions – Provides an Open Project button that takes you directly to the project containing the two-year-cycle item.
- Before the eligible replacement date, the report displays the number of days remaining.
- On or after the eligible replacement date, the report marks the item as Eligible Now.
- The item must be tagged as a Two-Year Cycle item.
- The item must have a Purchase Date.

Reviewing Replacement Dates
Items are arranged according to the number of days remaining, making it easier to identify items that are already eligible or are approaching their eligible replacement dates.

How the Replacement Date Is Calculated
The eligible replacement date is calculated by adding two years to the item’s recorded Purchase Date.

Click Open Project beside an item to review or update the related project. After an item is marked as paid, it will no longer appear on the Unpaid Items Tracker.
